How to build effective systems in your online business



Let’s be real. Your time is precious. And your to-do list for your life and business continues to grow. With so many demands, it can be tough to be effective while remaining balanced.


That’s why creating systems for your online business is crucial to your success. Standard processes increase productivity and eliminate the risk of confusion and burnout. Another bonus: when you’re ready to hire your team, having these in place will make it all so much easier! I suggest making a process for any task you complete at least two times a year.


What exactly does “having a system in place” look like? It’s a streamlined checklist you can follow, adding clarity, stability, and effectiveness to your workflow. This saves you time, effort, and money.


To create your system, list out every single step of the process from start to finish including what programs or apps used for each. When doing so, remember to focus on the goal: what are you trying to accomplish with this task?


Next, take a ten-minute break! Walk away, rehydrate, and allow your mind to actively focus on something else or nothing at all!


When you come back, you’ll have a fresh perspective. This is when you want to read over your list. Is there anything out of order or something missing? Arrange the steps in the way that makes the most sense to you. If you see steps that aren’t necessary or don’t belong, remove them.


Once finished, you have your system! Keep a copy of this in Trello or Asana for you to reference each time you complete that task. Then at least once per year review your systems to ensure they’re as up-to-date, efficient, and effective as possible.


You’ll want to create systems for:

  • Email Marketing

  • Project Management

  • Creating Content

  • Client Processing

  • Social Media

  • Business Finances

To ensure your biz is as effective as possible, look for ways to incorporate your systems. You want them to work together in harmony to reduce your workload (not add to it!) For example, is there a program you can use for multiple systems?


Working smarter, not harder, will absolutely serve you, your business, your family, and your clients!

Just like growing your business, there are a lot of moving parts that go into building effective systems. So be patient with yourself, and don’t give in to the fears and anxieties. You can do this, I promise! And if an app, program, or platform isn’t working for you, try another until you find one that works the way you do.


If you’re building your biz on your own, it’s best to start with ONE process. You’ll learn so much and be able to apply those lessons to building the next system and the next. (I suggest email marketing since your email list is how you’ll connect with your audience, share your programs, products, and services and make your sales.)
